AES Testing Lab for instructors

Students must send instructors a copy of the Letter of Accommodation to activate accommodations for each course. At this point, students and instructors can discuss a plan for implementing accommodations for the semester.

If a testing accommodation cannot be provided in the classroom, students can use Accommodate, the AES accommodations platform, to submit a request to take an accommodated assessment with AES.

If course assessments are administered during class time, students are expected to get instructor permission if they need to test at a different time before submitting a request to test with AES.

  1. Provide AES with test information and instructions.
    When a student submits a test request with AES, you will receive an automated email from the Accommodate platform. This email will show you the information that the student has entered about the test, including the requested test date/time. It will also show the format of the test as reported by the student and will give any notes or requests made by the student. The email will ask you to confirm or clarify the information provided by the student and provide all the other information needed to complete the scheduling.

    1. As soon as you are able to do so, reply to the email to approve the date/time and provide the requested information (base test time, test expectations/instructions, delivery preference, etc.). If you have multiple students or test details will be the same for all tests, follow the instructions in the email which addresses this. 

      AES should receive this test information at least 24 hours before the test.

    2. When AES receives the test details from you, the test appointment can be finalized, and you will receive a second automated email which shows all the test details and instructions as provided by you and your student. This is for your records, and you do not need to reply to it unless there is an error or update.
       
  2. Set up your online tests for AES.
    If your test is online and students are meant to take it in the IU Testing Center you will have added an IP filter to your test, and you will need to add the AES Testing Lab Computers to that IP filter. The IP ranges you need to add will be included in the automated emails you receive.

    If your online test is meant to be taken in the classroom with no IP filter (IP filters are used to limit the location of the test to the IU Testing Center) you do not need to add the AES IP addresses. If this is the case, please let AES know. If your test requires an access code, make sure to get this to AES.

    Make sure to note any accommodation for extended time on tests (150% or 200%) and make the adjustment to the student’s test. If the test is set for a specific class meeting time and duration, make sure that is adjusted to allow for the student’s different start and stop times.     If you have a special instruction sheet or supplementary printed materials for your test, make sure to inform AES and get that to us before the test.

     
  3. Provide AES with test materials.
    If your test is on paper or there are physical components (test instructions, honor statement, blue book, etc.), you can deliver these to the AES main office in Taylor Hall 100 or the AES Testing Lab. If you have a digital copy of the test or other materials, you can send them to AES and we will print it (aesproj@iu.edu).

    All test materials must be received by AES by 4 p.m. the business day before the test.
     
  4. Receive completed test materials.
    When you provide AES with test information, please indicate what you want done with any completed test materials, like having them scanned and emailed to you, delivered to your department office (or other location), or you can pick them up at the Testing Lab or AES office.

    When test materials are delivered or picked up, someone will need to sign for them. You will also receive a copy of the test record which documents the test administration process.

     
  5. Communicate with AES.
    The AES Testing Lab is committed to administering your course assessments in a way that is compassionate toward your students, maintains academic integrity, and honors your work.
